The Basics

What is the exchange?
MCU AU Fest is a fanart and fanfiction exchange. Participants sign up to both produce a story/piece of artwork as a gift for someone else, and likewise receive a gift in return. In this case, all gifts will be set in alternate universes of the Marvel Cinematic Universe. Gifts will be anonymous for a few days before authors and artists are revealed.

 

What fandoms are included in the Marvel Cinematic Universe?

 

The MCU includes the Thor, Iron Man, Captain America, and Avengers movie franchises, as well as The Incredible Hulk, Ant-Man, Guardians of the Galaxy, Daredevil, Jessica Jones, Luke Cage, Iron Fist, Doctor Strange, Agents of S.H.I.E.L.D., and Agent Carter.

What are the requirements for participating?
If you sign up, you are committing to producing a complete story of at least 1000 words or a finished illustration including both an AU and a pairing your recipient requested. (In this exchange, both gen pairings as well as romantic ships can be nominated.)

You are welcome go above and beyond these limits, as well as give extra gifts. For more information, see "Can I create more than one fanwork?" below.

When is the exchange happening?
There are four stages to the round: Nominating ships and AUs, signing up, working on assignments, and posting/reveals.

Timeline:

  • April 6-16: Ship & AU nominations
  • April 19-29: Sign-up period
  • May 1(-ish): Assignments go out
  • June 25: Assignments due
  • June 30: Archive goes live (could be later, depending on whenever all assignments are in)
  • July 7(-ish): Author reveals (will be a few days after the stories go live)

Nominations

How do nominations work?
The first stage in the exchange is relationship/AU nominations. These nominations will determine what ships and AUs are eligible to be requested and offered. If a pairing or AU is not nominated, it will not be possible to request/offer it. Nominations will take place from April 6-16.

Participants will be able to nominate up to four (4) ships (gen or romantic) of their choice (though you can nominate fewer). Please focus nominations on ships you would like to REQUEST (not offer).

Relationships should be nominated with the characters' full names where applicable (NOT superhero moniker), in alpha order by first letter. Threesomes can be requested, though moresomes are optional details material. The & designates a gen ship (non-romantic and non-sexual), and the / designates a romantic and/or sexual relationship.

Only characters who actually appear on-screen in the Marvel Cinematic Universe (see above) are eligible. Feel free to crossover characters who have never met or appeared together in a canon, like Jane Foster/Melinda May.

How should I nominate AUs?
The freeform tag nominations will designate types of AUs to be matched on. Participants will be able to nominate up to ten (10) AU scenarios total. There are two main kinds of AUs--alternate settings and canon divergence AUs.

Alternate settings are when the characters have always lived in a different world. Common alternate setting AUs include high school AUs, coffeeshop AUs, noir AUs, etc. This also includes alternate professions--lawyer AUs, spy AUs, and so on. Usually for a superpowered/supernatural canon, this means a mundane AU--no powers, magic, etc (although it doesn't have to, as in most A/B/O).

In a canon divergence AU, the characters are located in the canon world, but at a specific historical moment, something crucial changed: someone made a different decision, the villain won, etc.

What happens if I miss the nomination period or forget something?
Only ships and AUs that have been nominated will be eligible for requesting and offering during signups. If you miss the nominations period for ships or AUs, you can include them under "optional details" in your sign-ups, but your gift creator is in no way obligated to actually include that ship/AU in their gift, and your official request be for for a nominated ship/AU. Please do not use the & ship to request a / ship, or vice-versa.

 

Can I change my nominations?
It depends. Nominations can be revised or changed until the nominations are approved by the moderator, or the end of the nominations period (Apr 16, 11:59 PM CST), whichever comes first. (Probably the former.) Once your nominations are approved/rejected, you will not be able to change those tags.

However, you will still be able to add to your nominations if you left blanks. For example, if you only nominate two ships, and decide you want to add a third, you are free to do so until nominations close, even if your other noms have already been reviewed. Same goes for freeform AU tags.

 

Sign-ups

How do I sign up for the exchange?
The sign-up period will run from April 19-29. Here is the AO3 tutorial about signing up for gift exchanges in general. There are two main sections to the sign-up form: requests (what you want to be created for you) and offers (what you offer to create for someone else). The ships requested and offered do not have to be the same, or in fact overlap at all.

 

How do I make requests?
There are five parts to EACH request you make. You will have to make at least three (3) separate requests.

  1. Characters (REQUIRED): You will NOT offer actual characters here. Instead, this is how we will match on fanart and/or fanfiction. The two characters are Requesting/Offering Fanart and Requesting/Offering Fanfiction. You must include at least one of these, and optionally both. The tags are the same whether you are requesting or offering, and the request/offer sections are separate, so you will not automatically request and offer the same media. It would be safest to copy these tags directly from the tag set, since they may not show up in the dropdown.
  2. Relationships (REQUIRED): You will have to make at least three separate requests, and you may make up to ten total. For each request, please choose one ship. Each ship request must be unique, meaning you can only request it once. The "/" is for a romantic and/or sexual relationship; the "&" is for a gen relationship. Some nominated ships may not show up in the dropdown, so please copy the tags directly from the tag set.
  3. Additional Tags (REQUIRED): For each request, you will also have to choose a minimum of five different AUs from the freeform tags. (Each counts as a separate prompt, not a collective one.) You can select up to 20 particular AUs, or select 'Any' if you are comfortable receiving a gift with any AU on the list.
  4. Dear Creator Letter (optional): Here you can include a link to a "dear creator" letter, should you want to host one elsewhere (LJ, DW, Tumblr, etc.). (Make sure that this letter is unlocked/public so your creator can access it!)
  5. Optional Details (optional): In this box, you will also be able to enter information like prompts, scenarios, ideas, etc. to inspire your gift creator. You can use this instead or or in tandem with your dear writer letter. A friendly reminder: Optional details are optional: This means that any prompts, ideas, squicks, etc that you include in your sign-up and/or Dear Writer letter are not guaranteed to be considered in the creation of your gift, just a requested ship and AU.

How do I make offers?
There are three sections to EACH offer you make. You must make at least three (3) offers, and you may make up to 10 offers total.

  1. Characters (REQUIRED): You will NOT offer actual characters here. Instead, this is how we will match on fanart and/or fanfiction. Can I change my sign-up?
Yes. Until the sign-up period closes, you can change any part of your assignment as long as it continues to meet the minimum requirements.

 



Assignments, Posting, & Reveals

How does matching work?
The automated matching process searches for the following match between one of your offers and one request by someone else: at least one ship and one additional tag. This is all you're guaranteed, so make your offers carefully.

It is unlikely that your recipient will also be your creator, although this could happen.
How will I receive my assignment?
Once the matching process is complete (hopefully just a few days after signups end), you will receive an email with your assignment details. Your assignment will also be permanently available from your AO3 Dashboard (under "My Assignments").

 

How do I fulfill my assignment?
When you receive your assignment, your only obligation is to complete a fic of at least 1000 words fulfilling one of their ship/AU combo requests, or complete one piece of illustrated art fulfilling the same.

You can fulfill ANY of your recipient's requests, not just the one(s) you matched on.

If you are worried that your recipient's prompts/details/etc don't work for you, don't panic! Keep in mind that your recipient's optional details are optional. You are only required to include the ship(s) and setting(s) they requested in some meaningful way.

 

How do I post my assignment?
Go to your "Assignments" page, available in the following locations:

  • In the top-right drop-down menu, under your username, as "My Assignments"
  • On the MCU AU Fest sub-collection page as "Your Assignment"
  • From your Dashboard as "Assignments"

There are two buttons: "Post to fulfill" and "Default." To fulfill your assignment, click the former, fill out the form, preview to make sure everything looks right, and hit post! You can post your work anytime after you receive your assignment, and you'll be able to edit it forever (though it should be finished by the time works are opened). The form will fill in your recipient's name for you. After posting, please check your My Assignments page; it should now say "Status: Complete!" if your work has posted correctly.

 

How do I post an additional gift other than my assignment?
You will have to post these differently. Instead, head to the sub-collection page and click "Post to Collection." You will have to fill in the recipient's name to ensure your work gets to the right person (double-check the spelling!).

 

What happens at reveals?
There will be two reveals: fic reveals and writer reveals. After all assignments are completed, and every participant has at least one gift waiting for them, the collection of works will be made visible, with the creators' names hidden. Each participant will receive an email notification that they have a gift waiting for them, and your gifts will also be visible in your Dashboard's "Gifts" section.

This date is tentatively set at June 30, but may occur earlier or later, depending on when everyone has a gift. Creators, please keep your identity a secret! We ask that you do not cross-post your works, claim credit, etc, during this period.

You will be able to respond to comments on your work, but your name will be automatically hidden on those AO3 comments too, until . . .

A few days later (July 7 or so), the creators' names will be revealed and attached to their works, and everyone will be free to repost/promote/claim their work elsewhere.

 

Help! & Other Questions

What happens if I can't finish my fanwork?
If you can't finish your fanwork, head to your "My Assignments" page (from the Dashboard). You will see two buttons next to your assignment: "Post to fulfill" and "Default." Click "Default." You will be asked to confirm your default. This will notify the mods to find someone else (a pinch hitter) to fulfill your assignment.
What is the penalty for defaulting?
It depends on when and how you default. To wit:
  • Before June 18, 7:59 PM: No penalty, free to participate in the future
  • June 19, 12:00 AM - June 25, 7:59 PM: Future participation contingent on explanation and/or successful completion of other challenges (case-by-case). Contact the mods to explain!
  • No-show defaults (i.e., just not posting your assignment, without clicking "Default" by the deadline): Banned from future participation

How can I become a pinch hitter?
Pinch hitters volunteer their efforts to make sure everyone in the exchange receives a gift, even when the assigned writer defaults and can't complete their assignment. Periodically, stuff happens, and we need to find a new writer as soon as possible. Pinch hitters are the salt of the fandom earth, basically.

You can claim a pinch hit by replying to the email with your AO3 username. If you've successfully claimed the assignment, the mod will respond to you and will add the assignment to your AO3 account. To post your assignment, see the instructions above. If someone else claimed the assignment before you, a mod will let you know you're off the hook (but you should continue to keep an eye out!).

If you are assigned a pinch hit before June 18, 7:59 PM, your posting deadline will be the same as other participants (June 25, 7:59 PM). If you are assigned a pinch hit after the 18th, you will have until June 28, 7:59 PM, to complete this assignment. Any last-minute pinch hits will be given deadlines on a case-by-case basis.

Pinch hitters are held to the same requirements as any assignee (see "What are the requirements for participating?" and "How do I fulfill my assignment?" above).

You are welcome to claim a pinch hit regardless of whether you were an original participant in the exchange. The more the merrier!
Can I make more than one gift?
Absolutely! Everyone's request prompts will be public (visible from the sub-collection's sidebar), so you can choose to create a "treat" (an additional piece of artwork or fiction) for any participant in addition to your assigned gift (not instead of!).

Treats can be ANY length or size. They do not have to meet the requirements for official assignments. However, we do ask that if the gift is less than 1000 words or otherwise not something you would be comfortable substituting for their official gift, you wait until the posting deadline has passed (June 25, 11:59 PM) to post it, so we can easily ensure that everyone gets a full-sized gift.

You will have to post treats differently from regular assignments. Instead, head to the sub-collection page and click "Post to Collection." You will have to fill in your recipient's name to ensure your work gets to the right giftee.
