FAQ:

What is Fandom 5K?
Fandom 5K is a multi-fandom gift exchange for fanfiction of 5,000 words or more. Participants are matched to a recipient based on fandom, character/relationship and, if it does not cause problems with matching, genre preference.

 How does Fandom 5K work?
Fandom 5K has five major deadlines: Tag Set Nominations, Signups, Mandatory Check-In, Assignments Due, Reveals.

Tag Set Nominations: During tag set nominations, people use a form on AO3 to submit the names of fandoms they want to request or offer fanfic for, as well as character/relationships combinations for each fandom.

Signups: During signups, people use a form on AO3 to request and offer fanfiction in fandoms from the nominated list. While all participants are required to request at least 4 (with a maximum of 10) fandoms they wish to receive a gift for and offer at least 5 fandoms they are willing to write for, they are only obligated to create one fanwork in a fandom they match on.

After signups, participants are matched up based on what they offered and requested, and assignments are sent out. Participants have about two months to write a complete, standalone story of at least 5,000 words.

Mandatory Check-In: Midway through the writing process, there will be a mandatory check-in period where participants will have about a week (2 - 8 April) to confirm that they are still committed to the exchange.

Assignments Due: Stories must be posted to the Fandom 5K challenge on AO3 by the deadline of 29 April, where they will automatically appear as anonymous "Mystery Gifts" for the recipients.

Reveals: On 13 May, the stories are revealed, with author names still hidden. If authors wish to reply to comments during this time, they can, but they will show up as Anonymous Creator until authors are revealed.

On 20 May, all authors will be revealed.

Is fanart an option for this exchange?
Not for at least the first round. If the exchange runs smoothly in 2017 and we decide to try again the following year, we may consider making changes such as including fanart.

If I sign up, what am I agreeing to do?
You are agreeing to the rules specified here. Please let us know if they need any clarification.

I don't want to sign up for the challenge, but still want to participate. How can I do that?
You can be a beta reader or editor, cheer people on, create treats (read: additional gifts) for any requests that catch your eye, or pick up a pinch hit.

 
Nominations

How does nominating work?
Nominations are open on the AO3 collection from 7 - 14 February. Participants can nominate 4 fandoms, and 4 characters or character combinations from each.

For this exchange, you can nominate, offer, and request individual characters, romantic or sexual relationships, or platonic relationships. Both individual characters and relationships will be contained in the Character field in AO3.

If you want an individual character, then you should enter the following in the Character field: Character A.

If you want shipfic (a romantic or sexual relationship) for two or more characters, then you should enter the following in the character field: Character A/Character B

If you want genfic (a platonic relationship) for two or more characters, then you should enter the following in the character field: Character A & Character B

Can I change my mind about my nominations after I submit them?
Yes! Though mods will start approving nominations fairly quickly, and once one of your tags is approved, you can’t remove the nomination.

How will larger continuity nominations be handled?
We will be posting to the Dreamwidth community to discuss grouping larger continuity nominations.

What about crossovers?
If you want shipfic or genfic about characters from multiple fandoms, you can nominate them by selecting Crossover Fandom in the Fandom(s) field, then entering the relationship in the Character(s) field. This only applies to multi-character relationships--individual characters must be nominated in their parent fandom.

Are original works eligible?
Yes! Please nominate characters or relationships in the Original Work fandom.

Are there any restrictions based on fandom size?
No! Fandoms of any size are eligible.

Requests
You have to request stories in at least 4 fandoms. You can ask for up to 10 fandoms if you want.

For each fandom, you must request 1 to 20 (nominated) tags in the Character(s) field. Remember that this field includes tags for individual characters as well as character relationships. Also please remember that a relationship tag of Character A/Character B indicates shipfic between Character A and Character B, while a relationship tag of Character A & Character B indicates genfic for those characters.

For each fandom, you must also request at least 3 tags in the Additional tag(s) field. This field is used to indicate genre and is intended to give a general idea of the kind of story you’re interested in.

In the Optional Details field, provide your writer with more information about what you’d like to see in your gift. Like the additional genre tags, this field is optional for your assigned writer to follow, unless you explicitly state in Optional Details that something is a “do not want”. The only things your writer is required to respect are the fandom, the character/relationships, and any stated “do not want”.

If you’d like to give the writer more detail, you can link to a “Dear Writer” letter at your journal or another public location. Please note that the mods can only enforce a “do not want” if it’s indicated in the Optional Details field, not if it’s just in your letter.

What can I put in my Optional Details?
Anything you like. Your optional details are a guide to your assigned gifter about what kind of fanwork you would like. You can talk about characters you requested and what you like or don't like, characters not nominated but that you wouldn't mind appearing, what you like about the genres you listed in the Additional tag(s) field, what your thoughts are about crossovers and what they can be, plot ideas, or kinks you would like or not like. It is also where you tell your author what you do not want. Remember that the author is not required to follow all these suggestions. It's ultimately your assigned writer who decides what goes in the work.

Do I need to write a letter?
If the Optional Details section provides enough room for you to give your writer some guidance on the sort of story you’d like, you don’t need to write a letter. If you do choose to write one, you can put a link in your signup so it can be found easily. If you’re posting to a journal or other password-protected location, please remember to check that your letter is not friendslocked and can be viewed publicly.

 Offers
You have to offer stories in at least 5 fandoms. You can ask for up to 10 fandoms if you want.

For each fandom, you must offer 1 to 20 (nominated) tags in the Character(s) field. If you’re willing to write for any of the characters or character combinations nominated for a fandom, you can indicate this by checking Any.

For each fandom, you must also offer at least 3 tags in the Additional tag(s) field for genre. Unlike Fandom and Character(s), you aren’t guaranteed to match on a request for your offered genres, and you aren’t obligated to follow the genres requested in your assignment, but we’ll do our best to prioritize matches that include genre.

 Genres
The genres in the Additional tag(s) are intended to give a general sense of what kind of story you’d like to read or write for a given fandom. We’re going to attempt to assign offers and requests that share a genre. If that results in too many initial pinch hits, AO3’s matching code will still prioritize matches by genre.

Missing assignments
If you have not received an email with your assignment, it is possible that it has been captured by your email’s spam filter. Please log into your AO3 account and check the link for “Assignments” on the left-hand navigation pane on your Profile, and your assignment should be there. If you do not have an assignment there, please contact the mods immediately at fandom5kmod@gmail.com so that we can find out what is going on.

Changing assignments
Assignments can’t be changed under most circumstances. If the matching was in error on AO3’s part (for example: none of the fandoms on your assignment are fandoms you offered), then let the mods know ASAP. Your assignment may be changed under special circumstances, but those are rare and subject to the mods’ discretion.

Double assignments and initial pinch hits
Sometimes matching is not perfect: there are some people who did not have anyone who is available to write for them after matching is done and some people are assigned two creators in order to ensure that every participant has someone to write for. If you are posted as a pinch hit very early, it is quite likely that this has happened to you. It also means that you may not be the only person writing for your recipient.

 Posting

How to post
Go to your Assignment page on AO3, which you can find under the "Assignments" link on your Profile page, or on the Fandom 5K subcollection page as "Your Assignment". You should see two buttons at the bottom of your assignment: "Post to fulfil", and "Default".

Click "Post to fulfil", and you'll be taken to a posting form. This will automatically post your story into the current year's challenge. It also has your recipient's name already filled in. All you need to do is fill in the rest of the form, preview it to make sure it looks okay, and post.

If you're posting a Treat, you won't have an assignment or "post to fulfil" button. Instead, go to the current challenge page on the AO3, and click on "Post To Collection" under the challenge title. This will take you to a form with the challenge collection name already filled in. Fill in the recipient's name manually, then fill in the rest of the form, preview it to make sure it looks okay, and post.

Can I post my story before the deadline?
You're free to post whenever you want prior to the deadline.

Can I edit my story after it's posted?
Yes, AO3 allows editing at any time.

Can I add author's notes?
You can, but they will be visible as soon as the stories are revealed. Be careful not to put anything here that would give away your identity.

 
Defaulting

What if I can't finish my story?
If you can't finish in time, you can default. This lets the mods know they need to find a pinch hitter to write a story for your recipient.

To default, go to your Assignment page on AO3, which you can find under the "Assignments" link on your Profile page, or on the Fandom 5k subcollection page as "Your Assignment". You should see two buttons at the bottom of your assignment: "Post to fulfil", and "Default".

Click the Default button, then click the confirmation on the popup that appears. The mods will be notified and will find a pinch hitter to fulfil your assignment.

What happens if I default?
That depends on when you default.

If you default before the no-penalty default deadline (1 April), you are no longer required to prepare a gift for your recipient. If you default and then are defaulted on in turn, you are not guaranteed a gift and you will not be sent out to pinch hit.

If you default after the no-penalty default deadline then the same applies, but before you are able to sign up next year you are required to write a story of at least 5,000 words for your recipient.

If you need to default, please do so early so as to give your recipient’s pinch hit writer enough time to write their pinch hit.

 

Pinch Hits

What are pinch hits?
Pinch hits are assignments that the original author has had to default on, or rarely, assignments that couldn't be matched to any authors. As people default, pinch hits will be posted on the community so that anyone can choose to write for them.

Do I need to be signed up to be a pinch hitter?
Anyone with an AO3 account can sign up to be a pinch hitter. If you want to be notified of pinch hits, follow the comm. All pinch hits will be tagged with "pinch hit".

How do I claim a pinch hit?
Drop a comment onto the post with the pinch hit! Your comment will be screened and then the moderators will tell you whether you are assigned the fanwork or not. If you are not, please feel free to treat! It sucks to be defaulted on, especially if it is last minute, and your treat will only make a fellow participant happier.

Deadlines for pinch hits will depend on how late they go out. Last-minute pinch hits tend to get a little extra time.

How do I post my pinch hit?
Go to your Assignment page on AO3, which you can find under the "Assignments" link on your Profile page, or on the Fandom 5K subcollection page as "Your Assignment". You should see two buttons at the bottom of your assignment: "Post to fulfil", and "Default".

Rules:

Participants must produce a complete, standalone story of 5,000 words or more in any one of the fandoms requested by their assigned recipient, focusing on any of the characters or relationships requested for that fandom. Stories may not include any element clearly defined as a Do Not Want in the the recipient’s signup form.

Participants must also send a simple message to the mods during the mandatory check-in period (April 2nd - April 8th) confirming that they’re still committed to the exchange.

Completed fics must be posted by the assignment due date (April 29th) and stories must remain anonymous until the authors are revealed (May 20th).

We expect everyone participating is doing so in good faith, but we reserve the right to implement other rules if the need arises.
